Why is effective reporting important to you?

We've made our name as an agency on delivering the promises that we make at pitch. That means we need to show every month how we are hitting results as well as report quarterly on how we are moving towards a bigger goal.

We believe it's not enough just to do great work. We have to be seen to be doing great work across the whole of our client’s organisation.

Effective reporting for us means that reports are timely, they are easy to understand and they represent the full spectrum of our work which includes the obvious stuff like coverage - but also social impact, different assets we've created and so on.

What formats were you using prior to Releasd?

I don't think there is any surprise here. We were using PowerPoint, Excel, Word, basically Microsoft stuff.

What challenges did those formats present?

It was a massive frustration to waste time building and duplicating reports. The sharing of large files. Constantly messing around compressing files and images down. An inability to capture the digital assets that we've created. If I'm sending a client a Word or Excel document they are not going to see in any video.

A really important thing over the last few years has been this inability for clients to look at the reports on mobile devices. They might look at a report on the train on their mobile phone. That's a pretty crap experience if you are using Excel or a PDF.

What first drove you to explore Releasd?

It was originally about new business.

We were looking for a way to standardise and catalog all of our pen and paper results because as we grow we tend to forget a brilliant piece of work that we have done - or somebody new joins and they are not aware of what we have done. We needed an easy way to mix and match different client examples to build a credentials document.

The inability to add the digital elements I talked about was another major driver.

What have you used Releasd for?

For a number of clients we do monthly reports and that's the only report they now get. For a bunch of other clients we do campaign wraps or quarterly wraps. We essentially want to bring together not just the results but all the assets.

The second thing is new business prospecting. We will wrap up a good campaign that we've done and then send that as a link as part of an email shot to clients and prospects.

One of the really cool things we use Releasd for is events. If we’ve got 15 journalists coming along we will send them the invite to the event on Releasd. Invariably we’ll be launching a new piece of content which could be a white paper, a report, a new piece of research. After the meeting, we’ll say “You know your invite link? Click on that again and you will see right now that all of the stuff we just shared with you today is now ready for you to look at and download!”

It's definitely a more enjoyable experience for our clients looking at a consistent, colourful, interactive summary of our work versus lines of text in an Excel document or clipped and cropped coverage in PowerPoint.

What impact has Releasd had in terms of reporting?

Okay. Four things.

We’ve streamlined our own internal processes. It's definitely reduced the time it has taken to prepare reports and credentials docs. I know that we can put a Releasd report together in an hour versus probably three in PowerPoint.

Secondly, it’s allowed us to report in a more detailed way. That impresses clients. They like to get a well ordered snapshot of each activity. They can then drill down deep into the actual coverage and social results.

The third area is about user experience. It's definitely a more enjoyable experience for our clients looking at a consistent, colourful, interactive summary of our work versus lines of text in an Excel document or clipped and cropped coverage in PowerPoint.

The last thing is visibility. What we do know is that using Releasd ensures that our results get shared more widely within a client’s organisation. That raises our visibility and helps us reach decision makers beyond our day to day PR and marketing contact. We know this happens because our clients tell us they’re quite proud of sharing a Releasd link because it looks cool and it's not taking up email inbox space.

What impact has Releasd had in terms of new biz?

Well, we know that people find opening a link less daunting than a 10 megabyte PDF.

Pre-pitch, one prospect said it was really helpful to get our creds in Releasd format and that she’d share it with the other people that are going to be in the pitch. That means we won’t need to spend 20 minutes talking about ourselves.

It's a very effective way to follow up post-meeting as well. If we have actually been in and seen somebody and presented something, we can then follow up very quickly and showcase all the digital aspects of campaigns like films or social stuff, as well as just the coverage. That we know works very very well.

We are a digitally focused PR agency. That means we want to communicate with the best tools and Releasd is definitely one of those.
